Job Title: Senior Investment Support Executive

Reporting to: Head of Operations

Purpose of the role:

To support the business in delivering an efficient and effective client service to our global client base. With an extensive knowledge of investment support activities, the role holder will be expected to deliver the highest standards of service to both internal and external clients and strategic business partners.

The role holder will work closely with the business monitoring the settlement process of trades, corporate actions & client instructions along with supporting ongoing client service delivery.

As a senior member of the team the role holder will also work closely with the Head of Client Enablement in workload and team management ensuring the needs of the business are supported.

As part of the wider Client Enablement team the role holder may be required, at times, to provide cover across the team where required, with suitable training and support provided.

Key Responsibilities:

  • Maintenance of data on internal and external party systems checking for consistency to enable accurate internal and external reporting.
  • Maintenance of SSI’s and other relevant data on trade matching system.
  • Ensuring securities and fund trade confirmation via CTM and onward swift messaging to custodians to enable settlement within deadlines.
  • Liaising with brokers and custodians to ensure timely settlement. Rectification of any erroneous trades / settlement instructions ensuring clients and funds are “made good” where necessary.
  • Processing of transactions relating to equities, bonds, funds, derivatives, dividends, corporate actions, cash entries and FX’s (spot & forward) in a timely and efficient manner.
  • Assisting the Head of Operations in the development of new products and liaising with custodians in setting up new security markets when necessary.
  • Processing and releasing client payments from discretionary portfolios.
  • Portfolio Fee maintenance and processing.
  • Performing reconciliations for cash and stock holdings for both Funds and Portfolios.
  • In Specie transfers in and out of Execution Only portfolios
  • General day to day client reporting and other ad-hoc reporting.
  • Actively manage emails in the department group email inbox.
  • Provision of/submission of any client/regulatory reporting where relevant.
  • Filing and archiving paperwork relating to the above.
  • Cover for the other members of the department during holidays and assisting generally in times of high volumes.
  • Departmental ad hoc task and project work as directed by the COO and/or Head of Operations when required.
  • Support end to end client account opening/closing activity and account maintenance.
  • Cover client CDD/AML activity, ensuring up to date and in line with regulatory requirements.
  • Ensure trigger checking is dealt with in a timely manner.
  • Ensure relevant client records are accurately maintained and all static data changes comply with Ashburtons policies and procedures.
  • US Tax maintenance and reporting. Validating clients W8 tax documentation and IRS reporting to custodian.
  • Management of the exceptions and dispensations register.
  • Management of client communications, post, walk ins and telephone. Directing enquiries accordingly.
  • Support activity related to the client valuation production run.

Additional Responsibilities:

Assist with client and management reporting when requested. 

Assist in testing when implementing new or upgrading systems when requested. 

Keep up to date with finance industry developments ensuring that the minimum CPD is reached each year. 

Identify and recommend improvements to systems, processes and service standards and to be involved in projects to improve efficiency of Ashburton services. 

Actively promote the services of Ashburton identifying and bringing to the business’ attention any potential opportunities. Always adhere to Clear Desk Policy, ensuring that all client sensitive data (e.g. client names, account numbers etc.) is kept securely locked overnight. 

Any obsolete papers that include client details must be placed in the confidential waste. 

Always adhere to, keep up to date with and attend training provided on Money Laundering, Data Protection and any other additional regulatory requirements. 

Adherence to GDPR regulations All additional activity involved in supporting ongoing client service delivery.

Experience & Qualities:
  • A comprehensive understanding of investments and securities, collective investment schemes and the banking industry is required.
  • A clear understanding of how securities are traded and settled as well as the workings of a “back office” Securities Department in either a stockbroking or banking environment would be an advantage.
  • The successful candidate will be highly articulate and show a high standard of numeracy together with a methodical, precise and logical approach to duties. A self-starter who will recommend and implement solutions.
  • Minimum 3 years securities experience.
